Job Description

Key Accountabilities:

  • Monitoring Weekly District managers and Staff managers’ report for red flags performance or deficiencies and bring to leaders attention
  • In coordination with the Public Relations Unit (PR), proactively oversee and monitor agents' giveaway program, including procurement of promotional items
  • Tracking of trade show results, referrals and follow up
  • Drafting of letters for reprimand, promotion and termination
  • Drafting initial content for sales material, new and revised forms, brochures, sales awards and certificates, and point of sales material for submission to PR for the design and procurement of items
  • Developing and implementing mechanisms to monitor and follow through on customer service issues, complaints and concerns from the field and clients
  • Under the direction of the leader, developing and updating manual and master file of all policies and procedures for the department ensuring all documentation is well organized on a shared drive
  • Assisting in the routine update of the Home Service District training manual
  • Assisting with review of sales contracts and annual rewards manual
  • In accordance with weekly, monthly and quarterly reporting requirements provide management reports capturing the following data (not exhaustive) for individual agents, staffs, districts and division
  • Researching and providing source documents and support to Human Resources for the calculation of commissions, bonuses and any other payments for the sales force
  • Researching and drafting the departmental budget and track all expenses
  • Assisting and supporting leader with the following:
  • Researching for presentations, sales strategies, etc.;
  • Drafting of presentations;
  • Resolving client issues;
  • Departmental communications; and
  • Any administrative functions that may be assigned
  • On behalf of the AVP, Home Service Sales, provide letters, memos and communications to agents ensuring follow up for confirmations and sign-offs
  • Ensuring all regulatory matters are addressed
  • Ensuring agent sign-off on all compliance requirements, following up on all items to ensure department has completed compliance requests from all divisions
  • Performing any other duties assigned by leader as appropriate to promote the further growth, development, and smooth operation of the Division and Family Guardian in general

Knowledge & Skills:

  • Bachelor’s degree in Sales, Marketing, Business Administration or related field preferred
  • FLMI preferred
  • Strong Word Processing Skills – PowerPoint, Excel, Word, Publisher
  • Knowledge of the Home Service System
  • Over 7 years’ experience in administrative support functions
  • Strong interpersonal skills and the ability to communicate effectively with persons at all levels
  • Excellent organizational skills
  • Well-developed written and oral skills to prepare and communicate material requiring interpretation analysis, assessment and/or creativity, knowledgeable use of terminology and precise articulation of ideas or opinions
  • Appreciation of the organization’s operations across a number of generally related administrative or operational activities sufficient to apply, adapt and modify detailed practices or processes
  • Thorough understanding the Company’s products, services, finances and strategies
  • Appreciation of several areas of external activities (financial and/or other industries, market and/or regulatory environment, or client business practices and needs) sufficient to apply relevant issues or developments to work performed


  • This position requires working outside of normal working hours as needed
  • Travel may be required from time to time
